How to manage authors
Both during the trial and after purchasing a license there are two ways to add more authors to your H5P.com account, through LTI or manually.
Adding authors through LTI
When integrating H5P.com into your LMS via LTI, authors are created automatically when making new H5P content inside the LMS. There is no administrative action required. They just log into the LMS and start creating H5P content, given that there are more author licenses available in your plan, and they have the appropriate role in the LMS (Instructor, for instance, see the full list of LTI roles that becomes authors at the end of this page) a new user will be created on H5P.
Depending on the settings on the LMS, the new user will have a first name, last name, email, or none.
Adding authors manually
An administrator or super user may create new author accounts manually. Follow these steps to do so:
- Log in to H5P.com with your superuser or administrator account
- Go to "Manage organization" in the main menu
- Click the "Add user" button and fill in the form in the popup
- When you submit by clicking the "Add user" button in the popup the user will get an e-mail automatically with all info needed to set a password and start using H5P.com
- If the user does not get an e-mail, make sure the new user has checked his/her spam folder and that you entered the e-mail correctly. Contact support@h5p.com if the new user is unable to log in
User details
Fill in the first and last name, email address, and role. Add an optional image. You can get read more regarding roles by clicking on the "About the roles" link.
Changing a role
To change a role click the "Change role" button next to the username.
You will get a popup to pick a new role.
About the roles
H5P.com has four roles:
- Administrators
- Super users
- Authors and
- Learners
Click the "About the roles" link in the left menu to see the permissions for each role.
Deleting users
To delete a user click the "Delete" button next to the username.
Use the checkboxes and bulk actions at the top of the page to delete multiple users at the same time. Users are not permanently deleted but moved to the user archive.
Managing licenses by removing authors
If your organization has a license limiting the number of author accounts, you'll see how many licenses you have available at the top of your user list. To free up a seat in your license you can delete an existing author. The existing author's content will remain and the author will be archived. If that author tries to log in on H5P.com they won't be able to. If an archived author tries to use H5P.com via LTI the author will be restored automatically if there are more seats available in your license.
Authors may not be turned into learners. You must delete an author - putting them into the archive - to free up a seat in your license.
User archive
When a user is deleted from the user list they end up in the archive. From there, administrators may restore them or permanently delete them. Restoring them will give them access to the account again. If you decide to delete an author permanently, you get to choose what happens to the author's content - either assign it to you or someone else or permanently delete the content. If you permanently delete a learner the learner's reports will also be deleted.
